NECIC Donor Services & Event Planner

Position Summary
The Donor Services & Event Planner supports NECIC’s mission by coordinating donor engagement, event logistics, and communications across a high-volume annual event calendar. Because NECIC is a resident-driven, asset-based organization, this role must understand that most events are intentionally rooted in and held within the North End community. The position ensures events are well-organized, brand-aligned, and donor-ready, while working collaboratively with internal staff who maintain primary ownership of program content and execution. This position serves as a central organizer, planner, and connector for the organization and is not a program manager but must ensure consistency, follow-through, and a positive experience for donors, partners, volunteers, and community members across NECIC’s diverse services and community.

Core Responsibilities

Event Coordination & Logistics

  • Maintain the master NECIC event calendar and track timelines, deadlines, and deliverables for CY 2026 events.
  • Coordinate logistics for meetings, luncheons, clean-ups, celebrations, mailers, markets, and major events (including Elders Luncheons, Board Meetings, community days, fundraisers, and donor campaigns).
  • Support assigned event leads by coordinating:
    • Space reservations, permits, vendors, and supplies
    • Catering, set-up, breakdown, and volunteer coordination
    • Sign-in sheets, attendance tracking, and post-event documentation
  • Ensure smooth transfers between staff, volunteers, and partners before, during, and after events.

Donor Services & Engagement

  • Support donor-facing events and campaigns (e.g., Richland Gives, Giving Tuesday, Annual Meeting, Savor & Sip, FARM to ABLE Dinners and Lunches).
  • Work with Director of Marketing to prepare donor materials including invitations, mailers, save-the-date cards, signage, and follow-up communications.
  • Coordinate donor acknowledgements, thank-you letters, and stewardship touchpoints in collaboration with leadership.
  • Track donors and attendee engagement data related to events.

Communication & Branding Support

  • Coordinate with marketing staff to ensure events are properly promoted and branded.
  • Assist Director of Marketing with social media coordination, printed materials, and email communications tied to events.
  • Ensure NECIC brand standards and messaging are consistently reflected across all events.

Administrative & Systems Support

  • Maintain organized digital and physical event files, including contracts, invoices, permits, and photos.
  • Support post-event reporting, including attendance counts, lessons learned, and follow-up needs.
  • Assist with data entry, scanning, and documentation related to events and donor services.
  • Support cross-departmental coordination during peak periods (e.g., community, large campaigns, multi-day events).

Collaboration & Reporting

  • Works closely with program leader(s), operations staff, and leadership.
  • Respects and supports staff members assigned as “taking charge”  of specific events.
  • Escalates issues, risks, or capacity concerns in a timely and professional manner.
